These terms describe use of Badge Trail, operated by Emily Pitt at badge-trail.com. By using the service, you agree to these terms and acknowledge the Privacy policy. Questions can be sent to mlepitt@gmail.com.
What Badge Trail provides
Badge Trail is an independent organizer for adult troop leaders. It supports scout rosters, optional photos, badge and award tracking, purchase and presentation status, meeting plans, leader collaboration, and record downloads. It is not affiliated with or endorsed by Girl Scouts of the USA or any council and does not award badges or verify official membership. Features identified as planned on the homepage, including community reporting and troop credits, are not currently included as available tools.
Accounts and troop access
You must be at least 18 to hold an account and have authority to manage the troop records you enter. Use accurate account and troop information, protect your sign-in, and invite only authorized leaders. Do not register a troop you do not represent. A pending setup does not reserve or activate a troop; standard annual registration is completed after payment is verified. A troop already registered may require an invitation or help resolving ownership. Designated complimentary owner or tester access may be available.
Annual fee and renewal
The standard fee is $45 USD per troop for one year of access. Invited leaders can collaborate within that troop’s access; each additional troop has its own annual fee. Checkout is processed by PayPal, and eligible alternatives may be offered there. Review the amount and payment details before paying.
Annual access starts after a completed payment is verified. If you renew after access has expired, your new year begins when you pay. A renewal completed before expiry extends the existing access period by one year. Badge Trail does not automatically charge annual renewals.
After access expires, editing is locked. Data downloads are disabled by default; you can request temporary permission for your sign-in email to download retained records from units you already have access to. Approved permissions expire automatically on the date provided. Account deletion does not itself reverse a completed payment. Contact mlepitt@gmail.com with a payment error, duplicate charge, refund request, or access issue; include the transaction reference and never send card details or account secrets. Requests are reviewed individually, and applicable consumer rights remain unaffected.
Your records and uploads
You retain ownership of content you provide. You authorize Badge Trail and its service providers to store, process, and display it as needed to provide the features you use. You are responsible for the accuracy of your records and for having permission to enter personal information or upload photos, including appropriate parent or guardian permission for children’s information. Do not upload content you lack permission to use.
Private troop records are available to the troop owner and authorized invited leaders. Resources submitted to the shared catalog may be reviewed and made available to other users. Submit only content and links you have permission to share; do not upload paid guides, restricted materials, or private scout information for public sharing.
Resources are a starting point
Imported badge information, purchase links, requirements links, and any posted meeting ideas or free guides may be incomplete or become outdated. Requirements, prices, stock, and websites can change. Admin review does not guarantee accuracy or ongoing availability. A meeting guide may not cover all current badge requirements.
Check the original source and your council’s current requirements before purchasing a badge or recording that it has been earned. Leaders remain responsible for activity planning, supervision, permissions, and choosing activities that fit their scouts and applicable safety guidance. Links or future contribution credits do not imply official approval or endorsement.
Acceptable use
Do not attempt to access another troop’s private records, impersonate a leader, misuse scout information, upload harmful content, interfere with the service, or use the service for unlawful activity. Access may be restricted to address abuse or protect users. Contact us if you believe access was restricted in error.
Retention and account deletion
Request temporary download access if you need a copy of your records. Expired annual troop data is eligible for automatic removal after at least 12 months past expiry and the required period of leader inactivity. Inactive accounts without remaining protected troop access may also be removed after 12 months. The Privacy policy explains these rules.
Account owners can delete their account in Account settings. Invited leaders can contact Badge Trail with account requests. This deletes the troops you own and their records and photos, including records used by their invited leaders. Your memberships in other owners’ troops are removed, while those troops remain. Deletion does not remove copies other people have downloaded or independent payment-provider records.
Availability and changes
Features and resource availability may change, and maintenance or provider outages may interrupt access. Keep your own copies of essential records. We aim to provide a useful service but do not promise uninterrupted access, complete resource coverage, or that imported information is always current. Updated terms will carry a revised effective date. Nothing in these terms removes rights that cannot be excluded under applicable law.
Abandoned signups with no paid access or saved troop data are removed nightly at midnight Eastern. Complimentary accounts, invited leaders, and accounts with payment records are protected.
